Questions regarding our RENK Supplier Portal

To initiate the registration procedure, access our portal following the published link. Enter the self-registration via the link “New supplier? Register now”. Complete our self-registration-form and submit it by click on the button “Register”.

A Data Universal Numbering System (DUNS) number is a unique nine-digit identifier assigned to businesses, utilized to establish a business profile, which is frequently referenced by potential business partners and is provided by Dun & Bradstreet (D&B). Its submission is obligatory during registration to foster transparency and data accuracy in our business operations.

If your DUNS number is unknown, it can be found via the Dun & Bradstreet (D&B) website, which provides a tool allowing businesses to search for and view their DUNS number. A link to D&B’s UPIK® - Unique Partner Identification Key Platform is available on the self-registration-form.

The ensuing step post successful registration involves the comprehensive completion of your supplier profile. The “Company Profile” segment contains numerous data fields requiring intricate details about your organization, including but not limited to banking information, financial indicators, business scale, and further information that complete the business profile of a company. Also assigned questionnaires, provided and published after accepted self-registration, needs to be completed before stepping into a business relationship with RENK. The portal will guide you through the mandatory information and initial assessments.

Management of multiple user profiles connected to a single entity is possible through the “Contacts” segment on the left navigation bar, accessible via the link “Company Profile”. This function allows for the viewing, addition, editing, or removal of users linked to a company account. Internal contacts manage the users on company side, Client contacts show business relationship owner and stakeholder assigned to the business relationship from RENK side.

Indeed, user profiles may undergo modifications post-creation. The “Contacts” segment allows for the selection of the profile that requires editing, where changes can be made as needed.

If there is a need to modify registered company data, a “Change Request” workflow will follow the change submission. This is necessary as changes may trigger further approval or other workflows. Upon review, we will implement the necessary changes or reach out for additional information or clarification.

The inclusion of new services or updates on sites or commodities can be done through the “Qualifications” section of your company profile. Remember to save changes after adding new entries. A change request process could become effective depending on the particular data. During the first time registration the assessment and onboarding is done on the initial provided company data and information. Changes on these data can only be done after successful onboarding.

Certainly, our portal allows the entry of multiple bank accounts. This is particularly beneficial if you are registering for multiple sites or need to manage multiple bank accounts for your business operations.

Additional bank accounts can be added through the “P2P Information” section of your profile. Click on “Add Banking Info.” and complete the required fields for each additional bank account, saving each entry.

Indeed, each bank account necessitates the submission of a corresponding verification document. This measure safeguards the integrity of the information provided and fosters trust in our financial transactions. These documents will be reviewed, validated and approved by Accounting.

Risk and Compliance Questionnaires are strategic instruments intended to assess company’s compliance with various legal, ethical, and risk management frameworks. Completion of these questionnaires is essential to create a transparent, compliance-centric business environment. Our company is committed to complying with local and global laws, as well as sustainable and social guidelines. We also expect this commitment from our suppliers. Therefore, the initial evaluation is obligatory and forms the basis for a trustful cooperation.

The Risk and Compliance Questionnaires can be found in your 'Validations' box directly on your Homepage or in the Pending Validations accessible under the bell icon on the top right corner of your Homepage. These questionnaires will be available until you have submitted them.

Absolutely, assigned questionnaires can be downloaded for offline completion. This can be achieved by selecting the appropriate questionnaire and using the “Download in Excel” function within the “Answer Questionnaire” section to download and save the document.

Once the questionnaire has been downloaded, open it using a compatible excel software application. Make sure to provide comprehensive responses to each question, and save the completed document on your device. Uploading the completed questionnaire by selecting the relevant questionnaire, and using the “Click or Drag to add file” function to locate and submit the completed document from your device.

Each assigned questionnaire will be associated with a specific deadline. Timely submission is essential to ensure your company’s seamless integration into procurement processes and adherence to compliance requirements. Without completion of the required questionnaires or providing the requested information along the onboarding processes, a business relationship is not possible.

Failure to submit completed questionnaires within the specified deadline may negatively impact your company's business transactions and risk profile. In such cases, prompt communication with our team via the central contact email address or via the responsible Global Commodity Manager is advised to discuss possible solutions.

We understand that unforeseen circumstances may arise. In such instances, early communication is recommended to explore potential deadline extensions or alternative solutions.

Incomplete submissions may result in exclusion from potential business opportunities and procurement processes, hence, full participation is highly recommended. Without completion of the required questionnaires or providing the requested information along the onboarding processes, a business relationship is not possible.

To maintain the integrity of our resources, downloading of video tutorials is not permitted. However, they are accessible at any time for your convenience.

Our RENK Supplier Portal is protected with robust and highest security measures conforming to industry standards. We adhere to strict data encryption protocols and the highest security standards to ensure your information is protected following our and our customers stringent data security protocols.

Post the termination of a company's usage or after the business relationship has ended, the company's data is archived in adherence to data retention laws and regulations. However, any request for data deletion will be processed in compliance with the applicable data privacy laws.

In the unlikely event of a system failure or error, we have a technical team dedicated to resolving such issues. Should you encounter any problems, please notify us via the central contact email address or via your business relationship owner.

Updates are undertaken during periods of minimal traffic to limit disruptions. Information about upcoming updates and their implications is communicated via the system's notification panel and email alerts to the registered users.

Non-adherence to our rules and guidelines may lead to temporary suspension or permanent removal from the portal. We recommend regular reviews of our guidelines and general conditions of use and access, which are available within the platform for reference.

Our portal is designed to accommodate users from all time zones. Our Support and Self-Service page, including the support videos are available at any time.
